J. Long-Distance Phone Usage Guidelines for Student Organizations

In an effort to assist student organizations in their fiscal operations and to insure that ethical standards are being practiced, the following is a list of guidelines that have been established by the University to govern long-distance telephone usage by student organizations.

1. Definition of University Business Calls
A University business call is defined as a call made for the purpose and with the intent of conducting business or seeking information for a chartered student organization. All calls to immediate family members that are of a business nature should be approved in advance by the student organization advisor.

2. Eligibility Limitation
All student organizations that are fee funded must determine which personnel are appropriate for conducting University business through long-distance phones. The names and titles of these authorized persons must be on file in the office of the organization advisor. The head of the student organization is responsible for sharing the list with other members and informing office personnel that long-distance phone usage is limited to authorized persons for legitimate University business. All fee-funded student organizations must keep a phone log.

3. Limitations on Length of Calls
All student organizations should establish a length of time for long distance phone calls that will be considered acceptable by the group. Provided, absent special circumstance, all long-distance phone calls must not exceed 15-minutes. Any calls expected to require more than 15 minutes to complete are better served with a fax.

4. Personal Emergencies
All student leaders and student personnel are required to use a pay phone when they need a phone for a long-distance personal call. However, if there is an emergency and a student leader or student personnel has no other available options, then a student organization phone may be used. An emergency is defined by death of a family member, calling a hospital, wartime cause, or any other life-threatening experience.

5. Sanctions for Misuse
Any student found to have violated any of the University policy on long distance phone usage may be subjected to any or all of the sanctions that are outlined in Sections II.B.8 of the Student Code of Conduct and Policies that may be found in the On Campus.
