Creating a Presentation Using MS PowerPoint (Office 97)

1. To launch the program, from the Start menu, go to Programs, to Microsoft PowerPoint.

2. At the “Create a new presentation using…” window, select Blank Presentation and click on OK.
 

Creating a Title Slide…

3. At the New Slide window, click on the Title Screen Template, the upper-left corner AutoLayout, and click on OK.

4. A blank title screen will appear.






5. To add a title, click the mouse on the screen where indicated. Type in the the name of your presentation. For example:

All About Me
Select the text by double-clicking on it, boldface it and set the size to 60 point.

6. To add a subtitle or an author, click the mouse on the screen where indicated and type in the following text as shown:

Your Name

7. Select the word “by” by double clicking on it and reduce the size of the text to 24 points.

8. To save the presentation, from the menubar, select File-Save. Direct the file to your floppy disk. Name the file Aboutme.ppt

Adding a second slide…

9. From the menu bar, Insert-New Slide. Another way to create a new slide is to click on the new slide button, at the center of the top toolbar. A new slide AutoLayout window will appear.

     

10.    Add the following presentation text.
    Slide 2: Personal Information - -Name at Birth; Date of Birth; Location of Birth

    Slide 3: Vocation details (occupation, etc.)

    Slide 4: Avocation details (hobbies, etc.)

    Slide 5: Closing Remarks.

To Change the appearance of your slides…

11. From the menubar, select View-Master-Slide Master. A master slide will appear.

12. From the menubar, select Format-Slide Color Scheme. Click on the Custom tab.

     

    To change the background color, click on that square to select it, and then click on Change Color. Select a new color and click on OK. You will return to the Slide Color Scheme window.

    Change the color of the text and title text. When you have made your selections, click on Apply to All.


13. You can also re-format your slides by selecting Format-Apply Design. Direct the computer to C:Program Files/Microsoft Office/Templates/Presentation Design. Here you will find some "slick" templats designed by the graphic artists at Microsoft for your use.

14. To return to your slides from the Slide Master, from the menubar, select View-Slide.

Adding Transitions…

15. Click on the Slide Sorter button at the lower left of your screen.

16. Click on the “thumbnail” of your title slide.

     

17. Click on the Transition button at the upper left of the screen as shown below.
     

18. Set the transition to Fade Through Black at Medium speed, only on mouse click.

19. Select slides 2, 3, 4, and 5 at the same time by clicking on slide 2, and then, while holding down the shift key, click on Slides 3, 4, and 5.

20. Set a transition for all these sides at once, as indicated in steps 17 and 18, above.

21. With the bulleted slides still selected, click on the Build button at the center of the toolbar.

22. Select Build, Dim previous points, and an effect, such as Fly from Left. Click on OK.

23. Click on the Title Slide thumbnail. To return to slide view, click on the Slide button at the lower left of the screen. Save your presentation.

Add Clip Art (Warning: Clip art may not be loaded on all the computers in the GSU lab, and therefore, this may not work!)
24. With your title slide showing, from the menu bar, select Insert - Picture -Clip Art. The Microsoft Clip Art Gallery should launch automatically (if it's going to go wrong in the lab, you'll know it here!)

25. Select a clip art image by clicking on it once, and then click on Insert. Move the image to a pleasing location on your screen by placing the cursor at the center of the image, depressing the mouse key and dragging the image to the desired location.

26. To resize the image, place the cursor on the "handle" at the lower left corner of the graphic, press the mouse key and drag the handle to shrink or grow the image to the desired size. Be careful not to alter the proportions of the height and width of the image or it will look "squished" or "stretched." This can usually be accomplished by holding down the Shift key on the keyboard before and during the resizing operation.

Add a graphic image from the Internet …

27. Hide your PowerPoint window. At the upper right of the Powerpoint window, hide the window by clicking on the left most of the three options ( the square with the single line at the bottom)

28. Launch Netscape from the desktop.
 

Go to the URL where the image is located. For this workshop, we'll use the GSU home page that appears when you launch Netscape.

Place your mouse pointer on the image at the top of the GSU homepages, press the right mouse key. A pop-up menu will appear. Slide over and select Save this image.

Direct the image to your floppy disk and give it a name (or leave it named gsubar.)


29. With the title slide showing on your screen, select Insert-Picture-From File. Direct the computer to your floppy disk, and select the image you "captured." Click on OK. Move the image to a pleasing location on your screen.

Preview your Presentation…

30. With your title slide on showing on the screen, click on the Slide Show button at the lower left of the screen.

32. Run through your presentation, clicking your mouse to advance each progressive build and transition. When you get to the end of the last slide, PowerPoint will end the Slide Show and return you Slide View.

Print a Handout of your presentation…

33. From the menubar, select File-Print. At the bottom of the print window where it says Print What: Slides (without builds), use the mouse to select Handouts (6 slides per page.)
 

Select Black and White.

Click on Print.


Finishing…

Save your presentation one more time. Exit PowerPoint (from the menubar, File-Exit).
