Introduction
Effective June 1, 2004 , Georgia State University discontinued the use of the Mail Stop Codes (MSC) and begin the use of a Post Office box numbering system as part of the University addressing scheme.
Each office area has been assigned a P.O. Box number for delivery of internal and external mail. Our goal is to transition to the exclusive use of P.O. Box numbers as the preferred mail addressing method by October 1, 2004. Mail delivery to individual units and campus mailrooms will continue as before. The use of a P.O. Box number as part of our address will be easier for people to remember and allow the post office to use more automation in the mail sorting process.
The new system will work as follows:
1. All offices within the University have been assigned a P.O. Box Number.
- If your office already has a P.O. Box number: that number remains the same.
- The list of P.O. Box numbers for all areas can be found at here.
- Your external address should always include Department name and P.O. Box number.
- The Zip+4 code for P.O. Boxes is 30302 - box number, e.g. 30302-3999 .
- Please note: Mail received without a P.O. Box number may take longer to process.
2. For Courier and Overnight Delivery Services (FedEx, UPS, etc): Continue to use your physical address e.g., 30 Courtland Street , Room 318. Atlanta , GA. 30303. Overnight carriers do not routinely deliver via P.O. Box number.
3. Internal Mail: Include addressee's name, department, P.O. Box number and a return sender's name, Department, P.O. Box number
- New blue interoffice envelopes have been distributed with this format.
- Delivery to your individual areas continues as usual.
4. New Stationery/Envelopes/ Business Cards
- Send requests to University Relations. University Relations will create your new template and forward to University Printing & Copy Services for printing. Your completed product will be delivered to you. NOTE: All typesetting is required to go through University Relations.

Campus Address Format
There is a new standard format for all campus addresses. Wherever and whenever campus addresses are used (letterhead, envelopes, business cards, inter office mail envelopes, forms, individual correspondence, web sites, etc.) it is necessary that they be formatted according to this standard. If people use the correctly formatted address to write to the campus, then the USPS and Mail Services will be able to process this mail in an efficient and timely manner.
The basic format is as follows. The order of the address lines is very important, as is the inclusion of the department name in all address uses. It is essential that these standards be set as any change could affect the readable of the mail by the USPS machinery.
Address Element |
Example |
Individual Name:
Department:
University:
Address: |
Joe Panther
Office of the President
Georgia State University
P.O. Box 3999
Atlanta GA 30302- 3999
|
Please Note:
- In all cases, the zip code will be 30302 and the zip +4 will be the same as the P.O. Box number.
- It is highly recommended that punctuation not be used in the address except for the dash between the zip and the zip+4
- There is only one space between each item, except between "GA" and the zip code, where there are two spaces.

P.O. Box Number:
|

|
Please Note:
- In all cases, a department’s P.O. Box number is to be used on interoffice mail along with the department name. This simple step will help Mail Services quickly and accurately sort and deliver your mail.
P.O. Boxes and Express Delivery Companies
Express delivery companies (FedEx, UPS, DHL, etc.) cannot deliver mail to P.O. Box numbers. Therefore, when you provide information for use by an express delivery company, please be sure to provide your physical street address ( 30 Courtland Street, 35 Broad Street, etc. and the 30303 zip code for Atlanta). All business cards printed will include your “Mailing Address” as well as your “In Person” physical address. Mail Services encourages each department to include its “Mailing Address” and its “In Person” physical street address on all publications as well as websites.
