Software Installation Policy & Procedures

The Lab & Classroom Software Installation Policy and Procedures are covered here in question and answer format. P&SI Learning Environments Technology Services reserves the right to change/modify this policy at any time.

Who may request Software?
Georgia State University Faculty or Staff who are responsible for providing instruction or services to students may request software applications to be installed and made available to the P&SI Open Access Computer Labs and P&SI supported classrooms

What may be installed on the Lab and Classroom servers?
Software may be installed on P&SI servers if one of the items below is true:

1. It is copyrighted and you have the original license agreement and original or duplicated software media (CD or Diskette)

2. It is freeware or released to the public domain (proof required and the software is the most current version available).

Software cannot be installed on individual computer workstations. Software must be installed on the servers and made available through the network with an appropriate number of licenses to support the application. Software application licensing metering will be used to limit the number of concurrent users as directed by your software license agreement.

Shareware software that has NOT been purchased by the requestor and/or has a limited license time period is not eligible for installation. This includes software licenses that have a limited evaluation period. This also includes software that is freely distributed however is considered "BETA" or software that is under development.

Since most software is licensed, it is necessary to own the number of licenses that you wish to have available in our computer labs and/or classrooms. The number of licenses required should be the maximum number of simultaneous users ever needing to use the software. For example, if you have 50 students and you anticipate that up to 20 of these students may be in the lab at once, you will need to purchase 20 licenses for the package. Software application licensing metering will be used to limit the number of concurrent users as directed by your software license agreement.

The Lab and Classroom Support Manager will retain the license documentation or proof of legal use and the software media (diskettes / CD-ROMs) as long as the software is installed on P&SI servers.

What must Faculty and Staff provide for software installation?
· A completed on-line software installation request form. IF THE SOFTWARE INSTALLATION REQUEST FORM HAS NOT BEEN COMPLETED, THE SOFTWARE WILL NOT BE INSTALLED.
· Original or copied software media (disks and/or CD-ROMs).
· Software installation documentation (if available).
· Original software license agreement (also known as an end user / network license agreement), documented maximum number of users (if available), and software usage expiration date.

What about software updates/patches/fixes?
All software updates, patches, and fixes will require the following:
· That the requester submit the update, patch, fix on CD or other media
· That the update, patch, fix accompany any software license agreement granting permission to install.
· A completed on-line software installation request form. IF THE SOFTWARE INSTALLATION REQUEST FORM HAS NOT BEEN COMPLETED, THE SOFTWARE WILL NOT BE INSTALLED.
· A MINIMUM OF TWO (2) WEEKS is needed to install and distribute the update, patch, fix to all lab & classroom computers. We reserve the right to extend this period as directed by the installation complexity and/or compatability with other existing applications.
· That the update, patch, fix is compatable with existing software.
· We reserve the right to reject the update, patch, fix if the software is not compatable with other existing software and/or if the software is not easially distributable via our workstation managment system.

When are the Software Request Installation Deadlines?

P&SI personnel require a MINIMUM TWO (2) WEEKS from request to installation. We reserve the right to extend this period as directed by the installation complexity and/or compatability with other existing applications.

What are the Request Approval Considerations?
· The network workstation model must support the requested software.
· The software must utilize reasonable bandwidth.
· Appropriate licenses must exist to permit general student use.
· The software must be compatible with existing applications.
· We reserve the right to reject the software application installation request if the software is not compatable with other existing software and/or if the software is not easially distributable via our workstation managment system.

How Do I Request Software Removal?
The most current version of the software will be maintained on the P&SI servers. Earlier versions will be removed at the end of each academic year in August. For software removal requests, resubmit the software installation request form and select the removal option.
